Privacy notice

Draft, last updated [date]. This notice has not yet been reviewed by a solicitor.

Who we are

KennelFinder is run by [company or trading name], [address]. We are the “controller” of your personal data under UK data protection law. You can contact us at [contact email].

What we store

  • About you: your name, email address, and phone number if you give one.
  • About your request: your postcode, the dates you need, any notes you add, and how far you asked us to look.
  • About your dogs: name, breed, size, age, sex, whether neutered, vaccination and treatment status, medication, and behaviour notes.
  • Your consent: that you ticked the box on the request form, when you did, and which wording of it you saw.
  • Emails: a copy of every email we send about your request and every reply we receive from kennels, so we can sort out problems.
  • Technical data: to stop abuse we keep a scrambled (hashed) marker of your IP address and email address for a short time, for example to limit how many requests can be sent in an hour. We cannot read the original from it, and it is deleted within two days. We do not use advertising or analytics cookies. The only cookie we use is a sign-in cookie for our administrator.

How we use it, and why

  • To find nearby licensed kennels and ask them whether they have space. Legal basis: your consent, which you give with the tick box on the request form.
  • To email you a private link to your results, tell you when a kennel has space, and send you a summary when your request closes. Legal basis: it is necessary to provide the service you asked for.
  • To keep the service secure, prevent abuse, and keep records of what was sent. Legal basis: our legitimate interests.

Who sees your data

  • Kennels we contact see your first name, the town you are searching from, your dates, and your dogs' details. They do not see your email address or phone number from us. Your contact details are only known to a kennel if you choose to contact it.
  • Our service providers, who process data on our behalf: Supabase (database), Vercel (hosting), Resend (sending email), Postmark (receiving kennel replies), and Anthropic (AI used to draft enquiry emails and read kennels' replies). We send the AI only what it needs: your first name, the dates and your dogs' size and breed when drafting, and the text of a kennel's reply when reading it. [Confirm where each provider stores data and whether international transfer safeguards apply.]
  • Public pages with maps or Google content. The kennels page shows a map using free tiles from OpenFreeMap and OpenStreetMap data, and kennel pages can show ratings, reviews and photos from Google (Google Places). When you view these, your browser requests them from those services, so they can see your IP address. We send them nothing else about you, and we do not store Google content.
  • We do not sell your data and we do not use it for advertising.

How long we keep it

We keep your name, email address, phone number and your dogs' details for 12 months after your request closes. Then they are removed automatically: your name, email and phone are replaced, your dogs' names, breed, medication and behaviour notes are deleted, your notes are deleted, your postcode is cut down to its first part (for example “SL6”), the stored text of emails about you is blanked, and your results link stops working. We keep only anonymous facts such as dates and dog sizes, which help us improve the service. Your results link also stops working 90 days after you send your request. You can ask us to remove your details sooner at any time.

Your rights

You can ask us to see the data we hold about you, correct it, delete it, restrict or object to how we use it, or give it to you in a portable format. You can withdraw your consent at any time. To cancel a live request, use the “Cancel this request” button on your results page. To have your details deleted sooner, or for anything else, email [contact email] and we will remove them.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.

For kennels

We hold your kennel's business contact details from public licensing information. You can ask us to stop sending you requests at any time with the “Stop sending me requests” link in every email.

Changes

We will update this page if how we use data changes.
